Access control quotations: what should the scope include?

A procurement checklist for offices and factories in Vietnam: define scope, separate upfront and recurring costs, and compare equivalent proposals.

Access control quotations: what should the scope include?

Two access control quotations can describe very different deliverables. A reader-and-lock package may exclude cabling, software configuration, data migration or training. For offices and factories in Vietnam, start with a common scope before comparing totals. This is a procurement guide, not a Duall Master price list.

Define the site and the cost categories

Provide floor plans, door types, entry and exit requirements, user groups, schedules, existing device models and network conditions. Separate essential workflows from later options. Ask suppliers to identify assumptions that need a site survey.

  • Hardware: readers, controllers where required, locks, door sensors, exit devices, power supplies and accessories.
  • Infrastructure: cabling, network, backup power, servers and storage appropriate to the deployment.
  • Software: included modules, any usage limits, renewal terms and upgrade entitlement stated in the proposal.
  • Delivery: installation, configuration, data import, acceptance testing, training and handover documents.
  • Operations: support, maintenance, backups, replacement items and responsibilities retained by internal IT.

For Vietnamese procurement, clarify VAT inclusion, quotation currency and validity, payment terms, warranty, delivery schedule and out-of-hours work. These are questions to resolve, not default Duall Master commercial terms.

Compare equivalent scope over the same period

Separate upfront payments from recurring costs. Mark unknown amounts as requiring confirmation rather than assuming zero. Ask what changes when adding users, doors or sites, and how renewal decisions affect usage rights and support. Confirm data export and handover responsibilities.

Record each requirement as included, optional, excluded or unclear. Resolve unclear items before comparing totals. Acceptance should cover allowed and denied access, expired rights, network interruption and recovery. Life-safety requirements need qualified project review.

Connect the purchase to building operations

Duall Master brings Access Control, Visitor Management, Attendance, Parking, Video Management and Video Intercom onto a shared building operations and security platform. Define what is delivered now and what requires another module or validated integration. Do not assume universal compatibility with existing equipment.

Its offline-first design keeps access decisions at devices using synchronized data; servers synchronize policy and aggregate events. Device-specific behavior still needs project testing. Share site plans, access-point counts, user groups and priority workflows to discuss a suitable scope.
